Reporting to the Manager, Governance and Assistant Secretary, the Shareholder Relations Manager will be responsible for the management and administration of the shareholders’ records function. The incumbent will also act as liaison with the Company’s transfer agent, as well as maintain effective relations with shareholders. 
  • Manage and be responsible for the administration of the shareholders’ records function, under the direction of the Manager, Governance and Assistant Secretary
  • Maintain effective working relationships with the transfer agent, and monitor and account for all activities as they apply to shareholder matters, including stock transfer function, shareholders’ records, Canadian and foreign ownership levels, etc. under the direction of the Manager, Governance and Assistant Secretary
  • Be responsible for processes with the transfer agent to provide effective and timely information on shareholder matters and corporate transactions, and maintain accurate and up-to-date records related thereto
  • Act as liaison with stock exchanges in the preparation and filing of listing applications, monthly share reports, director and officer appointments, other required forms and disclosure documents, where applicable
  • Act as liaison with securities regulatory authorities in the filing of notices, financial statements, material documents, insider reports, etc.
  • Maintain accurate and up-to-date records on insider transactions and normal course issuer bids
  • Provide support with respect to the organization of the annual shareholder meeting 
  • Handle proficiently and professionally responses to inquiries from shareholders pertaining to shareholders’ records and general matters, in a timely manner
  • Provide relevant information pertaining to shareholders’ records and Canadian and foreign ownership levels for inclusion in annual / quarterly / monthly reports, the annual information form, and other corporate documents
  • Coordinate the production and mailing of annual and quarterly reports and other documents to shareholders, as well as the posting of such documents on the Company’s website
  • Monitor proposed and new securities law rules and guidance pertaining to areas of responsibility to ensure compliance and to apprise the Corporate Secretary and the Manager, Governance and Assistant Secretary of any developments
  • Review and update the Investor Relations section of the Company’s website as required


  • Prior experience in shareholder relations, a legal department or law firm dealing with securities or corporate matters would be an asset
  • College diploma as a paralegal or equivalent is required
  • Strong project management skills
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook)
  • Strong organizational skills, excellent time management skills and an ability to shift priorities on an ad hoc basis
  • Excellent communication skills, both verbal and written 
  • Strong work ethics, high degree of integrity and dedication
  • High personal standards, discretion in handling sensitive and confidential information 
  • Dedication to follow through on commitments, and openness and honesty in communications 
  • Excellent client service orientation with both internal and external customers
  • Self-motivated to work independently with a high regard for accuracy, attention to detail and confidentiality
  • Must be able to work effectively in a team environment
  • Flexibility and willingness to undertake a variety of assignments and to work outside regular office hours on occasions.
