Reporting to the Manager, Document Process & Control, the Content Management System Specialist is responsible for the administration and maintenance of the Corporate Document Management System (CDMS). The Content Management System Specialist supports the development and enhancement of system features, while investigating to resolution identified issues. Project development including the web and mobile applications, inter-document relationships and compliance tagging for Transport Canada Regulations, Policy Guidelines and IOSA (IATA Operational Safety Audit) Standards.
The incumbent will act as an overall system subject matter expert (SME) providing technical guidance for system users and content authors. As the Air Canada liaison to the system vendor, monitors changes to data schemas, delivered by the various source XML data providers, that may affect compatibility with the CDMS.


  • Supports the technical administration of the CDMS to ensure configurations and accessibility are correctly established and maintained.
  • Manages the relationship between CDMS and Air Canada IT for required system configuration networking architecture.
  • Implements and maintains effective workflows in compliance with defined business processes to engage users.
  • Ensures compliance source data (IOSA, CARS, etc.) is maintained to the latest industry standards and accessible to Document Owners.
  • Solicits user feedback and compiles stakeholder expectations, into user stories, for collaboration with the vendor on potential solutions.
  • Conducts requirement and systems analysis and translates business requirements.
  • Provides support for the business analysis and technology/business integration efforts.
  • Communicates analysis results and makes recommendations to relevant stakeholders.
  • To preserve data and product validity, conducts quality assurance and regression testing for each system version evolution.
  • Oversees and monitors progress on product enhancements and projects, including prioritization of deliverables. 
  • Provides ongoing support to end-users and vendors, including troubleshooting issues, providing training and guidance.
  • Builds and maintains a reliable and performant job control database for work tracking and reporting. 
  • Works closely with cross-functional teams and suppliers to gather information/feedback and communicate updates.
  • Maintains and updates technical documents, flowcharts, and procedures.
  • Participates in Technical meetings and working groups, as necessary.
  • Functions as the technical backup to the Manager, Document Process & Control.


  • A relevant University degree/technical certification, and/or relevant experience commensurate to the role.
  • At least 3 years of technical or operations experience in a large company preferably in the Transportation/Airline domain would be an asset.
  • Formal Training in Document Management to be completed within 3 months of appointment.
  • Formal Training in SMS to be completed within 3 months of appointment.
  • Formal Training in Technical Writing an asset.
  • Formal Training or Practical Experience with XML Schema, Transformation and Stylesheet/CSS design.
  • Formal Training in MS, Adobe, or other similar Document Production software an asset.

Preferred but not mandatory:

  • To have or have held a management position (within an airline operational branch).
  • Aviation experience of daily airline/airport operating procedures.
  • Knowledge of Transport Canada regulations and standards (CARs), and similar foreign regulatory agency regulations and requirements (e.g., FARs, JAR-Ops).
  • Advanced technical document design and management preferred, including the use of XSLT/ CSS for outputting XML content to HTML, PDF formats.
  • Range of business industry knowledge required for the position.
  • Exceptional analytical, organizational and communication skills.
  • Possess investigative nature and be self-motivated and an independent worker.
  • Results oriented with proactive and methodical approach to problem solving.
  • Able to multi-task and work under pressure against tight deadlines and changing priorities.
  • Must be a team player with ability to work closely with diverse groups and working styles.
  • Ability to establish and maintain effective business relationships.
  • Ability to follow processes and directives.
  • Knowledge with User Acceptance Testing, Quality assurance testing an asset.
  • Knowledge with Database and Reporting Software and asset.
  • Experience with implementing and managing KPI’s an asset.
