Perform operational and/or administrative duties of a complex nature requiring initiative and judgment. Department : Flight Operations. Union : IAMAW Clerical.

Tasks and responsabilities

  • Prepare letters & bulletins for Managers
  • Prepare pilot Anniversary letters (Monthly)
  • Coordinate Command Upgrade frames
  • Administer Locker requests
  • Audit & approve all Parking Invoices (Ariba) for following stations: YUL/YOW/YQB/YHZ/YQM/YFC/YYT
  • Audit and approve Training expenses for all YUL pilot training (Ariba)
  • Enter pilot D/Hs for Mainline & Rouge in system (Netline)
  • Weekly conference calls on IT and iPad updates
  • Involved in iPad distribution and questions
  • Update Loner iPads (pink) on a monthly basis
  • Assist in pilot candidates interview process
  • Ordering of office supplies (TRAX/Staples)
  • Oversee booking of conferences rooms for AC personnel
  • Ensuring Flight planning computers are always functional and properly maintained
  • Maintain supplies & equipment for pilot briefing rooms on US & Domestic sides
  • Contact and/or coordinate with IBM all iMac issues
  • Coordinate with ADM (YUL) for pilot Biometric cards
  • Authorize & cancel RAIC cards for both Pilots & Flight Attendants (when required)
  • Monitor & administer RAIC transfers for auditing purposes
  • Maintain pilot status changes (Base transfer, equipment changes, new hires, etc.)
  • Prepare SOP packages upon request
  • Administer pilot’s special meal requests
  • Audit pilot Medical & IFR licenses
  • Assist with final checklist for pilot retirements
  • Assist with IFS issues during colleague’s absence
  • Answer Flight Planning calls providing information and resolving issues/problems for pilots
  • Assist the Base Manager, MLO, Chief pilot and on operational issues.

In addition to the above, may be required to perform the Tasks and Responsibilities as outlined in Assistant Coordinator Level. 



  • High School graduation

Skills and knowledge

  • Good communication skills, both written and verbal
  • Intermediate knowledge of Microsoft Office applications
  • Proficiency in spelling, punctuation, and grammar
  • Knowledge of aircraft terminology
  • Aptitude for math
  • Aptitude for accuracy and detail


  • Minimum 2 years office experience

Specific requirements

  • Some positions may require lifting and climbing [Minimal]
  • Some positions may require shift work and/or work staggered starting and stopping times [Flexible time only]
  • Must be able to obtain and maintain any applicable transportation security clearances and additional authorizations. Please refer to Transport Canada site for more details.
