Responsible for general day to day administrative functions and communication to all Operations Excellence employees. Provide administrative support to a Senior Director, Operations Excellence. Duties include general clerical, receptionist and project based work. Project a professional company image through in-person and phone interaction.

  • Answer telephones and transfer to appropriate staff member.
  • Meet and greet clients and visitors.
  • Administer access cards, lockers, headsets, keys, distribution list and employees packages for all new employees
  • Create and modify documents using Microsoft Office, PowerPoint Excel and Sharepoint.
  • Write and distribute bulletins to staff.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, scheduling meetings, employee events, conferences and filing.
  • Maintain hard copy and electronic filing system and soft copies
  • Pay invoices, manage budgets and file expense claims.
  • Sign for and distribute UPS/Fed Ex/Airborne packages and company mail.
  • Research, price, and purchase office furniture and supplies as required.
  • Coordinate and maintain records for staff office space, phones, parking, company credit cards and office keys.
  • Setup and coordinate meetings and conferences.
  • Maintain and distribute staff weekly schedules.
  • Attend meeting and take minutes
  • Co-ordinate staff travel and hotel requirements for the team
  • Order catering for facility as required and manage vending contract
  • Support staff in assigned project based work.
  • Prepare/assist in the development of new facility projects in conjunction with Corporate Real Estate and the affected business unit(s).
  • Assist functional managers as required with human resources issues (HR Connex)
  • Verifying, signing, coding and processing invoices for Operations Excellence.
  • Assist with annual budget preparation and administration of Budgets for Ops Excellence
  • Manage security contract and maintain all security records.
  • Responsible for employee specific facility related items (e.g. lockers, access cards, parking transponders).


  • A demonstrated ability to make effective decisions in an environment of high pressure and stress.
  • Very strong communication, interpersonal and organizational skills.
  • A demonstrated ability to professionally provide direction and leadership to staff members in a fast changing environment.
  • A highly developed entrepreneurial spirit, good judgment and a superior sense of initiative.
  • The ability to deal professionally with conflict situations
  • A self-starter with a willingness to implement and manage change
  • Eagerness to learn new applications, work methodologies and processes
  • Knowledge of various computer applications, including Microsoft Office
